How to Stay Productive with macOS: 10 Tips That Actually Work

Your Mac is a powerful productivity machine — if you know how to use it. Here are 10 strategies that actually move the needle, not just sound good on paper.

1. Master the Essential Keyboard Shortcuts

The fastest way to work on a Mac is to keep your hands on the keyboard. These shortcuts alone will save you hours every week:

  • ⌘+Space — Spotlight search (launch apps, find files, do math)
  • ⌘+Tab — Switch between apps
  • ⌘+` — Switch between windows of the same app
  • ⌘+W — Close current tab/window
  • ⌘+Q — Quit app completely

2. Use a Floating Todo List

Here's a productivity secret most people miss: your tasks should be visible while you work. Traditional todo apps require you to switch windows, breaking your focus every time you want to check what's next.

A floating todo list like Flowya stays on top of all your windows. One glance and you know your priorities. No switching, no losing context, no forgotten tasks.

3. Set Up macOS Spaces

Spaces (virtual desktops) let you separate different contexts. Create one for communication (Slack, email), one for coding, one for research. Swipe between them with three fingers on the trackpad or use Control+Arrow Keys.

4. Enable Do Not Disturb

Notifications are productivity killers. When you need to focus:

  • Click the Control Center in the menu bar
  • Click "Focus"
  • Select "Do Not Disturb"

Better yet, schedule Focus modes to automatically activate during your deep work hours.

5. Use Hot Corners

Hot Corners let you trigger actions by moving your cursor to screen corners. Set them up in System Settings → Desktop & Dock → Hot Corners.

Recommended setup:

  • Top-left: Mission Control (see all windows)
  • Top-right: Desktop (hide everything)
  • Bottom-left: Lock Screen
  • Bottom-right: Quick Note

6. Keep Only Essential Apps in Your Dock

Your Dock shouldn't be a graveyard of apps you never use. Remove everything except the 5-7 apps you use daily. For everything else, use Spotlight (⌘+Space).

7. Use Split View for Reference Work

When you need to reference one window while working in another, use Split View. Hold the green button on any window, then select another app. Your Mac will split the screen 50/50.

8. Clean Up Your Desktop

A cluttered desktop is a cluttered mind. Use Desktop Stacks (right-click → Use Stacks) to automatically organize files by type. Better yet, stop using your desktop as a dumping ground.

9. Automate Repetitive Tasks

If you do something more than twice, automate it. macOS has built-in tools for this:

  • Shortcuts app — Create custom automations
  • Automator — For more complex workflows
  • Text Replacement — System Settings → Keyboard → Text Replacements

10. Take Real Breaks

Productivity isn't about working more hours — it's about working effectively. The Pomodoro Technique (25 minutes work, 5 minutes break) works because it forces you to rest. Your brain needs downtime to consolidate learning and maintain focus.

The Biggest Productivity Hack

All these tips help, but the single biggest improvement you can make is reducing context switching. Every time you switch apps to check your tasks, you lose focus. Studies show it takes up to 23 minutes to regain concentration after an interruption.

That's why we built Flowya — a floating todo list that stays visible while you work. Your tasks are always in peripheral vision, so you never have to switch away to remember what's next.
